CORE RESPONSIBILITIES AND TASKS:

This position will be responsible for managing the compliance of the USCA retirement programs, daily administration of the global equity awards program and project managing various projects within the Employee Benefits department, with a focus on Retirement and Savings projects.  This position will also provide analytical support within the Retirement & Savings team and will support important non-US plan design analysis and recommendation.  Finally, this position is responsible for accounting and financial functions for the Retirement & Savings team within the Employee Benefits Department for both the U.S. and Canada. 

(1) Lead U.S. Retirement and Savings Plan Compliance:

  • Manage annual U.S. Retirement and Savings Plan audits in conjunction with internal and external auditors.
  • Coordinate annual delivery of Summary Annual Reports (SARs) to all U.S. employees
  • Responsible for Defined Contribution non-discrimination testing annually in conjunction with recordkeeper
  • Responsible for Summary Plan Description documents and coordinating updates with Director – Retirement & Savings Team and Legal department
  • Responsible for regular data reviews between vendor and HRIS data and implementing necessary corrections in compliant manner
  • Review plan-related analysis including detailed quarterly pension projections and support for the annual contribution process prepared by Benefits Analyst.
  • Review annual Pension Investment Plan (PIP) contribution prepared by Benefits Analyst
  • Facilitate acquisition implementation work, including onboarding benefit efforts for new employees and merging of acquisition retirement plan provisions and assets in conjunction with recordkeepers
  • Participate in regular Retirement and Savings touch base meetings to discuss strategic and tactical priorities.
  • Support and resolve Retirement and Savings related workflow items that come from employees, HR Business Partners, Legal department, and third-party administrators through email inbox or internal case tracking system.
  • Recommend, as appropriate, changes in systems, processes, and procedures to improve operational efficiency and effectiveness.

(2) Lead daily administration of global equity awards program:

  • Review daily transactions to ensure system data and tax withholding of exercises is appropriate
  • Support communication drafting of new documents, approval, and distribution as necessary
  • Maintain tax rate profiles for U.S. employees and country-specific rates for participants outside U.S.
  • Troubleshoot participant inquiry and/or erroneous system feeds or transactions
  • Ensure internal partners (Payroll, Finance) receive appropriate reporting from vendor
  • Responsible for supporting best practice review of administrative plan features on ongoing basis

(3) Global Retirement Program Governance and Administration:

  • Work with Director – Retirement & Savings Plans to develop global pension plan roadmap which includes plan rules, governance structures, statutory requirements, reporting needs and plan design reviews across all countries but particularly where we have multiple pension structures.
  • Support global pension plan design review, decision making support, and recommendations to Administration Committee in large S-W countries in conjunction with third party vendor, local country team, and S-W Legal.
  • Lead global pension plan design review, decision making support, and recommendations to Administration Committee in small and medium sized S-W countries in conjunction with third party vendor, local country team, and S-W Legal.
  • Manage annual global retirement plan audits in conjunction with internal and external auditors.
  • Work with local country HR, Finance and other support personnel regarding open governance challenges and new compliance regulations.
  • Support Director – Retirement & Savings Plans with ongoing Defined Benefit risk mitigation in countries with pension exposure, up to and including conversion from DB to DC structure and consideration of lump-sum windows to reduce pension liabilities
  • Support Director – Retirement & Savings Plans and Vice President - Employee Benefits with due diligence efforts around global pensions plans in mergers and acquisitions
  • Facilitate conversion of acquired pension plans to S-W systems as necessary, including consolidation of program and contact information in each country to facilitate ongoing reviews.

(4) Accounting and Financial Management:

  • Accountable for monthly and quarterly Employee Benefits department accounting entries for Retirement & Savings team, including journal vouchers, invoices, and other support working with Finance leadership for Employee Benefit costs and cash flows.
  • Work with Employee Benefit teams to set annual U.S. and Canada plan budget amounts to be approved by the CFO and Corporate Controller.
  • Review additional invoices in the Coupa system before payment by the Total Rewards Coordinator.
  • Support Total Rewards department expense budgeting, analysis, and management reporting.
  • Support all required financial compliance requirements for Benefit plans and associated reporting.
  • Document and maintain processes and procedures for benefits accounting.
  • Recommend, as appropriate, changes in systems, process or procedures to improve operational efficiency and effectiveness.

(5) Project Manage Special Employee Benefits Projects:

  • Lead implementation of special projects that arise in the Employee Benefits department 

(6) Support Vice President – Employee Benefits, Director – Retirement & Savings Plans, and Director – Health and Welfare Plans.

  • Supporting special projects as need arises, including projects such as benefit harmonization following acquisitions 

(7) Continuous Improvement:

  • Support continuous improvement projects within the Retirement & Savings Team.
  • Partner with Total Rewards teams as well as cross-functional teams in Human Resources, I/T, Payroll, Finance, Legal, Employee Relations, Treasury, etc.) for system upgrades and other projects that allow Total Rewards programs to remain best-in-class

POSITION REQUIREMENTS:

FORMAL EDUCATION:

Required:

  • Bachelor’s Degree (BA/BS) in Human Resources, Finance, or related field

Preferred:

  • Master’s Degree

KNOWLEDGE & EXPERIENCE:

Required:

  • 3+ years of Human Resources or Finance experience
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Excellent verbal and written communication skills

Preferred:

  • Experience working with Employee Benefits programs
  • Experience working with Retirement plan third party administrator portal
  • Understanding of Continuous Improvement methodologies

TECHNICAL/SKILL REQUIREMENTS:

Required:

  • Advanced knowledge of Excel, Powerpoint and other MS Office software

Preferred:

  • Experience using eAccounting and/or Buy Rite Coupa
  • Experience using Oracle Cloud HRIS
  • Experience using SLM (Supplier Management)
